2025 End of Year Programs in BSMGR

As we reach the end of the year, there are some programs you may want to consider running to prepare for the new year.


APHU – Vendor History Update (Platinum users only) • The APHU program moves year-to-date totals spent with each vendor to last year’s totals. • The information is shown on APM. • This program is usually run in late December.
APVE – Vendor Invoice Edit/Delete • Drops Accounts Payable invoices/credit memos that have been paid from 1 to 60 months, as set up in SYS | Config File | Change Misc. Configurations | # 3000.
ARHU – Customer History Utility • The “Delete History” option deletes Accounts Receivable history prior to the date entered.
BVH – Rental/Library History Roll • This program zeroes out current period rentals. • Total rentals and total fees are not affected.
IVD – Delete Old P.O. #’s • Deletes purchase orders by date. • Deletes old purchase orders dated prior to the date entered.
IVSD – Delete Special Orders • You specify the number of days to keep (up to 999). • You specify (by status) which will be deleted. Options are “Received”, “Shelved”, “Picked Up”, “Unavailable”, and “Shipped”.
MLD – Delete Customer by Date • You can identify up to three customer types that will not be deleted. By default, churches (Customer Type “C”) will not be deleted. • All other customers with a “last activity date” prior to the deletion date will be removed.
MLUL – Mailing Utilities • The “History Roll” option moves current purchase totals and current transactions to last year’s purchase/transaction totals. Total purchases/transactions are not affected. • The “Purge Tracking Detail” option will remove tracking records older than the input date.
SLTD – Transaction Deletions • Since transactions saved for viewing through the SLTR program use up to 75 lines per transaction, you may periodically need to run this SLTD program to clear the file of older transactions.


Remember, you can use the SCHEDULE program to automate some of the periodically run programs. You will need to have SCHEDULE run from the Windows Task Scheduler.

For example,

  1. You need to consistently back up your store’s data. If enabled, the SCHEDULE program will do three backups.
    1. Up to 31 days of archives. This allows you to undo a mistake up to a month after the fact.
    2. Copy all BSM files to another computer. This other computer can be quickly changed to become a temporary server if the main server fails.
    3. Copy all BSM files to a removable backup device (normally a USB flash drive). This gives you an off-site backup in case your computers are stolen or damaged by flood or fire.
  2. You should run IVT daily to have a historic snapshot for comparing inventory totals.
  3. You can choose to have your inventory history rolled weekly and/or monthly.
  4. You can have IVD run every week.
  5. You can update the RFM (Recency/Frequency/Monetary) ranking of all customers.
  6. You can get database updates every night.
  7. You can submit sales data to EOI so you can take full advantage of the Best Seller data from IVDI.
  8. You can automatically keep your store’s inventory counts reflected on your BSM website.

Munce 2025 EOY Postcard and 2026 New Beginnings Catalog

If you are sending the Munce 2025 End of Year Postcard and/or the 2026 New Beginnings Catalog, please download and process the data file that will prepare your inventory.

  1. Get the current Munce catalog files…
    • Version 8.11 (and earlier) –
      1. Download the Zipped catalog data files by clicking here.
      2. When the download completes, open the Zip file and extract/copy the files to your BOOK folder.
    • Version 9.00 –
      • You should receive the files as part of the automatic cloud update routine.
      • If you want to get them now, you can manually trigger the cloud update routine.
        1. Make sure all stations are out of BSMGR.
        2. At “Enter Program Name”, enter “SCHEDULE”.
        3. Click the “Check for Regular Updates Now” button.
        4. Make sure “BOOK-DIR” is checked. (All should be checked, but the BOOK portion of the update includes the Munce catalog files.)
        5. Click the “Start” button and wait for the routine to finish.
        6. All stations can now get back into BSMGR.
  2. In BSMGR, run “IVPROMO” at the “Enter Program Name” prompt.
  3. At the “Enter File Name” prompt, type the file name that matches the one you are sending out (see below), then click the OK button.
  4. If you enter a flexible date file name, you will be prompted for the start and end dates of the sale.
  5. Any products in the catalog and not in your inventory will open the IVM “Add” screen. Add the missing product(s) to your inventory. The catalog’s promo code, start date, end date, and sale price will be set for all the products in the catalog.
  6. NOTE: If IVPROMO doesn’t do anything, make sure you copied/extracted the files from the current MunceCatalog.zip file to your BOOK folder.

Penny-less Cash Transactions

As you’ve no doubt heard, the U.S. Treasury has suspended the minting of new one-cent coins (pennies) due to rising production costs. While existing pennies remain legal tender, their reduced availability and eventual phase-out impacts cash transactions.

The good news? You’re already prepared.

BSM includes a built-in “Penny-less” option that automatically rounds cash transactions to the nearest five cents (nickel). This feature was originally added to BSM when Canada phased out their one-cent coin in 2013. To enable/activate this feature in BSM, please do the following…

  1. At the Enter Program Name prompt, enter SYS.
  2. Click Config File, then click Change Misc. Configurations.
  3. In Field Number, enter 4003 (Penny-less Cash Transactions in POS).
  4. Change the value to Y.
  5. Click F5=Options, then click Save
  6. Exit POS at all stations. When you start POS again, it will read the updated setting.

What does this setting do?
When enabled, all cash sales are rounded to the nearest nickel. $0.01 and $0.02 round down to $0.00, while $0.03 and $0.04 round up to $0.05.

Where do the pennies go?
The remaining pennies are recorded on the SLE under the MISC REV field.

Which transactions are rounded to the nearest nickel?
When 4003 is set to a ‘Y’, only cash transactions are rounded to the nearest nickel. Transactions paid by credit/debit card, check, or charged to an account are all left at the normal transaction amount.

P.S. If you are using the credit card convenience fee option (SYS #4072) and want to also use the penny-less option (SYS #4003), please let us know. During our testing late yesterday (12/9), we discovered that those fields overlapped if both were enabled. The POS program has been updated to fix this, but there wasn’t an updated set of programs sent out since we are in the midst of the busy Christmas season.
