Reminder – Important Version 8.01 Upgrade Information

We are sending this reminder to make sure your system is ready for the Febuary 2016 update. If you are using both the point of sale employee (EMP) restrictions and the BSMGR Time Clock feature, you will need to associate the Time Clock ID number with the EMP name after you install the 8.01 update (January 2016 update) and before you install version 8.02 (February 2016 update).

Version 8.01 Upgrade Information (January 2016)

Bookstore Manager Software has a long history of striving to meet the technology needs of Christian retailers. Randy initially built BSMGR to more efficiently address monotonous tasks in his own store. When he began selling the software to other retailers in 1989, he added features that helped everyone. Since then a group of programmers has worked to add new features and enhance the system to meet the needs of hundreds of store owners and managers in the Christian retail industry.

Initially, there was a simple passcode feature that limited access to sensitive areas of information. An optional Time Clock feature was added which created IDs for all the employees to use when clocking in and out. Later, the Point of Sale program was enhanced to allow retailers to assign frontliners an account that sets more granular limits (for example, can they Redeem Gift Cards? Delete Layaways? Enter Negative Quantities? etc.).

We are changing BSMGR to consolidate these three different types of access IDs into a single ID for each person. Because each store may be using different combinations of the three, the process to bring these all together requires two version upgrades. See below for specific information based on how you are using BSMGR.

YOU ARE NOT USING EMP OR TIME CLOCK.
If you don’t currently use the point of sale employee (EMP) restrictions and don’t use the BSMGR Time Clock feature, you don’t have to do anything. The 8.01 update will happen in the background. The first time you run version 8.02, BSMGR will ask if you are using Time Clock. Answer “No”, and the program will quickly finalize the changes need.
YOU ARE USING TIME CLOCK, BUT NOT EMP.
If you are using the BSMGR Time Clock feature, but not currently using point of sale employee (EMP) restrictions, you don’t have to do anything. The 8.01 update will happen in the background. The first time you run version 8.02, BSMGR will ask if you are using Time Clock. Answer “Yes”, and the program will merge in the employees from Time Clock and finalize the changes need.
YOU ARE USING EMP, BUT NOT TIME CLOCK.
If you are using the point of sale employee (EMP) restrictions, but not using the BSMGR Time Clock feature, you don’t have to do anything. The 8.01 update will happen in the background. The first time you run version 8.02, BSMGR will ask if you are using Time Clock. Answer “No”, and the program will quickly finalize the changes need.
YOU ARE USING BOTH EMP AND TIME CLOCK.
If you are using both the point of sale employee (EMP) restrictions and the BSMGR Time Clock feature, you will need to associate the Time Clock ID number with the EMP name after you install the 8.01 update (January 2016 update) and before you install version 8.02 (February 2016 update). The 8.01 update will happen in the background. In EMP, use the lookup button located to the right of “Time Clock/Payroll Emp#” to find the appropriate Time Clock number to associate with each employee name. The first time you run version 8.02, BSMGR will ask if you are using Time Clock. Answer “Yes”, and the program will merge in the employees from Time Clock based on the associations made and finalize the changes need.

Starting with version 8.02, you will be able to control many aspects of access to features in BSMGR. This will add greater security and personnel tracking to the software. The longer passcode field will also provide you with the opportunity to use an employer issued card with a barcode or magnetic swipe that they can use instead of typing in their passcode each time.
